Immigration Equality – Operations and Administration Manager



Immigration Equality is a growing national organization working for equal immigration rights for the lesbian, gay, bisexual, transgender, and HIV-positive (LGBT/H) community.  Based in New York City, Immigration Equality provides direct legal services to LGBT/H asylum-seekers and advocates for change in American immigration law.  Through education, outreach, advocacy, and the maintenance of a nationwide network of resources, we provide information and support to advocates, attorneys, politicians and those who are threatened by persecution or the discriminatory impact of the law.



Immigration Equality seeks an Operations and Administration Manager to run the National Headquarters office in New York City.  The Operations and Administration Manager is a new position, created to ensure high-quality professional support for Immigration Equality as the organization continues to grow.  The Operations and Administration Manager will keep the office functioning efficiently to enable Immigration Equality's legal service, advocacy, and fundraising work.



Qualifications:



Appropriate candidates will have successful experience in building and managing a fast-moving work environment, including: operating systems, office staff, external constituencies, technological devices, and supplier relationships, and will be skilled in the use of software to perform required tasks with efficiency and accuracy.  Candidates must be mature, responsible individuals with two or more years of management experience running a professional services office (law, doctor, dentist, architect, executive suite at company, etc.).



Responsibilities include but are not limited to:



*Office Support:  Maintain basic server and workstation functionality; contact and interact with professional services personnel for repair, maintenance or technical purposes; evaluate, select and oversee service and maintenance contracts; troubleshoot and resolve problems with Outlook, internet connectivity, and web hosting; evaluate software needs; program Nortel phone system; maintain printers, copier and fax machine.  Maintain, evaluate and provide input into optimal selection of service support providers/vendors; act as liaison to building management; handle issues related to office space and design and general storage and maintenance; track and order office supplies.

*Organizational Support:  Prepare and monitor administrative applications including tax abatements, nonprofit status in multiple states, and Combined Federal Campaign.  Track annual budget and project-based budgets in QuickBooks; manage payroll, transit checks, and reimbursements; work with bookkeeper to prepare materials for annual audit.  Process and enter all donations, prepare deposit slips, and maintain donor data in Donor Perfect Online.  Oversee Grants Coordination activities – maintain grants calendar in coordination with grantwriter; help with the preparation and processing of grant submissions.

*Staff Support:  Evaluate contracts with benefit providers; maintain employee benefits paperwork; track office-wide vacation and sick days.
